How it works
Prepare one current working packet from confirmed plans, assign every responsibility and handoff, and use it to coordinate the celebration from opening checks through venue closeout.
- Download the customer ZIP, choose the US Letter or A4 PDF for your paper, and print at Actual Size / 100%. Complete Quinceañera Day-of Command Dashboard with the event details, packet version and issued time. Name the lead coordinator, backup and change approver; enter the fixed times to protect; identify the current supporting plans; and give urgent actions an owner and deadline. Prepare the binder from confirmed plans before the celebration, then keep the current working packet with the lead coordinator or family point person.
- Build Master Run of Show as one chronological schedule from venue access through closeout. Record each activity’s start/end, location, lead owner, readiness/go confirmation and dependency or cue reference. Identify fixed times and allow for setup, travel and transitions. Fill in Schedule Version / Updated On and number Schedule Sheet ___ of ___ when printing more copies. On the day, confirm readiness before releasing an activity, record actual times or changes, and communicate approved updates to affected owners.
- Complete Day-of Contacts & Escalation with the lead and backup first-call contacts and the people responsible for each event-day role. Enter names, phone numbers and backup contact routes. Share the relevant contacts with each owner. Follow the escalation route when someone cannot be reached; obtain the Page 1 approver’s decision for timing or scope changes, notify affected owners, and record the change on Page 12.
- Use Venue Access & Opening Checks for each venue or area. Confirm the opening lead, venue contact, access time, entry/keys, load-in, parking, staging and restricted areas before the day. At opening, check the layout, routes, exits, power, restrooms and weather arrangements. Mark each check Clear, Hold or N/A and assign any issue to an owner. Record who authorizes opening and when the area is ready; reprint for another venue or area.
- Prepare Vendor Arrivals & Readiness with the check-in lead and each vendor’s planned arrival, ready-by time, setup area and receiving owner. On the day, enter actual arrival and readiness, identify blockers, and assign the action owner and revised ready time. Contact the vendor lead about delays and route schedule changes through the approver. Use this worksheet to manage arrival and execution rather than quotes, deposits or booking comparisons.
- Assign Setup Assignments & Verification using the confirmed venue layout. For each task, enter the area, owner, supplies/location, deadline and verifier. The task owner records completion; the verifier separately initials and records the check time. Give corrections an owner and recheck requirement. Walk the layout and access routes, resolve outstanding fixes, and record who releases the setup as ready.
- Complete Quinceañera & Participant Readiness with the quinceañera’s support contact, getting-ready and gathering locations, ready-by time and confirmation time. Check attire, comfortable shoes, required items, food, water and rest. For each participating person or group, assign a gathering location and readiness owner, noting support needs and status. Include only the court, ceremony or other participation your family has chosen. Tell the cue caller to hold when required people or items are not ready.
- Use Transportation & Location Transfers only for the transfers your celebration needs. Assign a transport lead and backup, then record each trip’s vehicle, passengers, pickup/drop-off, driver phone, receiving person and planned departure/arrival-by times. Before departure, confirm people, items and the destination; during the transfer, record actual times or issues and notify the receiving owner of delays. Reprint for additional trips.
- Prepare Guest Arrival & Seating Handoff with the welcome lead, check-in point, current final guest/seating version, accessibility contact and person authorized to approve seating changes. Give the welcome team the correct lists and cards, confirm routes and reserved seats, agree on how to handle unlisted guests, and hand the confirmed catering count to the service team. Record approved changes and tell the affected seating or catering owner; detailed guest records remain in the Guest, RSVP & Seating Kit.
- Complete Chosen Moments: Cue & Handoff Responsibilities from the approved traditions and Vals/reception briefs. For each selected moment, enter its cue reference, readiness-confirming owner, go caller/signal, receiving owner and handoff or hold/backup response. Brief everyone on the sequence: the owner confirms readiness, the cue caller gives the agreed signal, and the receiving owner takes over. Hold when a required condition is missing and obtain approval before changing the plan. Use the separate final DJ/MC cue sheet for detailed performance cues.
- Use Reception Service & Transition Checks with the service lead and final count, meal and floor-plan references. Confirm counts, allergy information, tables, meal service, toast microphone, cake/dessert arrangements, dance-floor clearance and water as relevant. Mark each check Ready, Hold or N/A and give unresolved actions an owner. Before each transition, confirm the team is ready; record any hold, action and revised time, notify the team, and keep the master timing on Page 2.
- Prepare Contingency Decisions & Change Log with the approver, backup and update route. Agree on likely disruption triggers, practical responses, response owners and who must be notified. On the day, log each issue, approved change, approver, action owner/deadline and notification time/result. Update the relevant schedule or worksheet so the team follows the same current decision. Print additional copies if more changes need recording.
- Complete Emergency Contacts & Response Locations separately for each venue. Enter the exact address, room/floor, responder entrance and person who will meet responders. Verify local emergency-service, venue/security, available on-site first-aid and family emergency contacts; record first-aid/AED and assembly-point locations and venue instructions. Share this page with the lead and relevant owners. In an immediate emergency, contact local emergency services and follow their instructions, alert the venue, and arrange for someone to meet responders.
- Use Personal Items, Gifts & Custody Handoffs to assign an item/gift lead, secure storage and authorized access. Identify each item or container and quantity, current holder/storage, next recipient, transfer point and due time. At each transfer, record the actual handoff and receiving initials. Assign missing-item follow-up using the last known location, owner and next deadline. Keep thank-you tracking in the separate follow-up product; this page establishes custody and safe transfer.
- Complete Breakdown, Returns & Venue Closeout with the breakdown lead, pack-out start and venue clear-by deadline. Assign each pack-out or return task, quantity, owner, pickup/destination, receiving person and due-back time. Record completion, receipt or unresolved issues. Check rooms, storage, waste and keys; reconcile personal items with Page 14; obtain the venue representative’s signoff and time; and give any remaining issue an owner and deadline. Share only the relevant current sheets with each recipient and print extra copies of reusable worksheets when needed.
