How it works
Follow the worksheets in planning order, and reprint trackers when needed.
- Start on Page 1 with the retiree’s wishes, preferred celebration format, key details and the four decisions that shape the event. If it is a surprise, discreetly confirm preferences with someone close to the retiree.
- Use Page 2 to assign owners, set planning deadlines and track the next actions. Reprint the task table when the event needs additional rows.
- Complete Page 3 to set the budget, record contributions, estimate costs and track expenses and payments. Update totals as commitments change.
- Build the guest list on Page 4. Track invitations, responses, guest needs and follow-up; then use Page 6 to coordinate invitations and group communications.
- Confirm the venue and practical event logistics on Page 5, including access, guest comfort, equipment, setup and a weather backup.
- Use Pages 7–8 to coordinate catering, beverages, cake, décor and career displays. Assign delivery and setup responsibilities and confirm the retiree is comfortable with any public displays.
- Use Pages 9–11 to coordinate speakers, tributes, entertainment, special moments, gifts and keepsakes. Respect the retiree’s preferences about speeches and surprises.
- Record vendor bookings and day-of contacts on Page 12, then turn all confirmed activities into the chronological run of show on Page 13.
- During the final week, use Page 14 to resolve open issues and confirm every critical arrangement. Complete Page 15 by briefing the event lead, backups and everyone responsible for setup, guest support, presentation and cleanup.
