Step-by-step guide

How it works

Follow the worksheets in order, using only the sections that apply to your celebration.

  1. Start with Wedding Photography & Music Planner and Wedding Story & Creative Priorities. Identify the people, atmosphere and moments that deserve priority rather than requesting every possible shot or song.
  2. Set team contacts and coverage boundaries on Photography Coverage Plan. Use Photography Priority Map to distinguish essential images from optional coverage.
  3. Complete Getting Ready & Detail Photo Plan and Ceremony Photo Plan with people, locations, timing and restrictions. Confirm these requirements with the photo team before building the final handoff.
  4. Use Family & Group Portrait Plan and Couple & Wedding Party Portrait Plan to specify groups, locations and the people helping gather participants. Check that the available portrait time fits the requested coverage.
  5. Complete Reception Photo Plan, then consolidate confirmed coverage and important constraints on Photography Handoff Sheet for the photography team.
  6. Build Ceremony Music Plan and Reception Music & Key Moments Plan. Specify the correct track and cue for each formal moment, then use Must-Play, Play-if-It-Fits & Do-Not-Play List to communicate preferences without overloading the program.
  7. Use MC, Announcements & Entertainment Cues for spoken and performance handoffs. Check shared moments on Photo + Music Moment Coordination Sheet so the photographer is ready before the music or announcement starts.
  8. Complete Final Photography & Music Handoff after both teams have reviewed timing, contacts and cues. Reissue the affected handoffs if a key moment or track changes.
